As the first point of contact for our valued customers, you will play a pivotal role in ensuring a smooth and positive experience during their visit.
Your exceptional communication skills, attention to detail, and ability to multitask will be critical in handling various administrative tasks and providing excellent customer service to both walk-in clients and phone inquiries.
Responsibilities:
Phone Management:
Manage incoming phone calls, answer customer inquiries, and route calls to the appropriate team members.
Take detailed messages and ensure they are delivered promptly to the intended recipients.
Appointment Scheduling:
Schedule vehicle service appointments for customers based on their requirements and the availability of service advisors and technicians.
Maintain an organized and efficient appointment calendar.
Customer Assistance:
Assist customers with general inquiries about vehicle services, pricing, and estimated completion times.
Provide clear and accurate information and handle any issues or complaints in a professional manner, escalating to the Service Manager when necessary.
Administrative Support:
Perform various administrative tasks, such as data entry, filing, and record-keeping.
Maintain customer files and service records with accuracy and confidentiality.
Customer Follow-Up:
Follow up with customers after their service appointments to ensure their satisfaction and address any additional concerns or inquiries they may have.
Maintaining Reception Area:
Keep the reception area clean, organized, and well-stocked with necessary materials, brochures, and service-related information.
Adherence to Policies:
Follow company policies and procedures to ensure consistent service quality, confidentiality, and compliance with relevant regulations.
Requirements:
High school diploma or equivalent; additional certifications or relevant training is a plus.
Proven experience in a receptionist or customer service role, preferably in an automotive or vehicle service environment.
Excellent verbal and written communication skills.
Strong organizational abilities and the capacity to multitask effectively.
Proficiency in using computer systems, including MS Office and scheduling software.
Exceptional customer service skills, with a friendly and professional demeanor.
Ability to remain calm and composed in high-pressure situations.
A keen eye for detail and accuracy in managing administrative tasks.
Knowledge of automotive terminology and service processes is advantageous.
Availability to work flexible hours, including weekends, if required.
