Summary:
The Guest Services Manager is responsible for ensuring the satisfaction of customers.
This position needs to have excellent communication skills, be customer service driven, have high attention to detail, comfortable working in various computer and software programs, and be willing to go above and beyond.
The Guest Services Manager's responsibilities include scheduling field trips, parties, and museum rentals through our booking software, seeking out outreach opportunities and special guest appearances, while providing administrative support by maintaining accurate and organized records, data entry, communications with sponsors and donors, and scheduling of staff.
This position will work closely with the management team to ensure clear and open communication with all staff.

Primary Roles:
Schedule field trips, birthday parties, museum rentals and events Provide administrative support for fundraising events and sponsors Coordinate community outreach Manage gift shop inventory Creating a reliable customer loyalty program
Responsibilities:
Regular and predictable on-site attendance Complete timecards and other required documents for accurate payroll processing Follow safety rules when performing all tasks Event Scheduling and Museum Programing:
Responsible for booking, coordinating, and monitoring reservations for birthday parties, museum rentals, field trips, and special events Ensure reservation information is accurate and up to date in software, complete all paperwork, filing, and maintain reports related to birthday parties, museum rentals, field trips, and special events Communicate with guests, answering questions and assisting with registrations and memberships Update software with registrations and changes made by registrants Ensure events are staffed correctly Work closely with Finance and Operations Manager to accept, input, and ensure parties and field trips are paid in full Assist supervisors and Finance and Operations Manager with ensuring party supplies are fully stocked, organized, and available Support Museum Supervisor by maintaining open and clear communication regarding event details Maintain event record to include contact names and numbers, attendance, notes, feedback, and outcomes Community Outreach:
Responsible for working with Marketing Manager for booking, coordinating, and monitoring reservations related to community outreach, Otis appearance and special guest--the primary focus being to promote the organization in the community, collaborate with other businesses and community stakeholders, and reach new guests Ensure outreach events are staffed correctly Support Museum Supervisor and event staff by maintaining open and clear communication regarding event details Administrative Support and Sponsorships:
Serve as the fundraising and booking software expert--familiar with all facets of the program for museum and fundraisers Ensures all information in software(s) is up to date and accurate Track all sponsors, donors and partners using the proper excel spreadsheet and fundraising software for accurate fulfillment Coordinate and track all donations - to and from ImagineU - in applicable software Prepare items and track items to be donated to other companies and special events and communicate and coordinate pickup and delivery of donation Complete all paperwork, filing, and maintain reports related to donations including monetary and non-monetary donations Work closely with Finance and Operations Manager to accept, input, and audit inventory for caf and gift shop Work closely with Marketing Manager to ensure each event meets museum standards--d cor, ambiance, music, food, table presentation, and signage Responsible for keeping copy room and break room orderly Contribute to the overall positive image and success of the museum Provide necessary additional staff assistance as may be directed by the Executive Director Performance Objectives:

? Must be at least 18 years of age ? Hours are a minimum of Monday - Friday 9am-3pm with occasional weekend or evening work hours for staff development or special events ? Must pass Department of Justice/FBI Live scan background check ? Must maintain a valid Driver's License, and car insurance, and insurable by our insurance carrier (or follow our Operation of Vehicles policy) Environmental Conditions:
