The Service Coordinator is responsible for managing all aspects of quoted service project administration and preventative maintenance.
Job Duties:
Service Contract Coordination Duties:
Opens new service contract projects in IFS based on the documentation provided by the sales team and generates project numbers for distribution.
Communicates to all administrators when new projects are opened (Sales person/Project Manager, Operations Coordinator, Team Lead and VP of Operations).
Organizes and stores all information provided by sales team in Operations Drive on the server.
Enters all job numbers and other required information in the Google Doc service contract spreadsheet.
Orders and tracks all materials and equipment itemized in project estimate for projects updates Sales/Service Manager and the Operations Team Leader as the parts come in during the weekly Service Contract Meeting.
Monitors all service contracts for cost vs estimate and cost vs billings and works with sales/project management and the Operations Team Leader to help control cost and billings.
Transfers any cost belonging to another project in a timely manner.
Transfers must be reviewed/approved by sales/project manager prior to being done.
Sends invoices for review to service manager and sales representatives upon request.
Generates and delivers invoices to customer within (15) business days of completion confirmation.
Closes projects in IFS 30-days after completion and/or 30-days after last cost post.
If project is unable to be closed, the SCC will review and work with DTC departments or vendors to resolve the issues in a timely matter.
Job Requirements and
Qualifications:
Education, Certification/Licenses Highschool diploma or equivalent work experience required.
Experience:
3 to 5 years of billing experience preferred.
Knowledge (e.
g.
skills; abilities; familiarity w/ tools, languages, software programs):
Proficient in Microsoft Office suite.
Organizational and multi-tasking skills a must.
Strong mathematical skills with high attention to detail.
Professional demeanor and attitude.
Ability to adjust smoothly and be flexible to changes.
